Admin Settings
The admin settings screen allows administrators to configure access control, automatic guest assignment, notifications, and daily reminders for the Guest Management module.
Access Management
Control which team members can access Guest Management.
- Grant access — Add a user to the guest management team by granting them the
guest_managementpermission - Revoke access — Remove a user's access to the module
Note: Only church administrators can manage access permissions. Users without guest management access will not see the module on their home screen.
Auto-Assignment
Auto-assignment automatically distributes new guests to team members using a round-robin rotation, so follow-up responsibility is shared evenly.
Enabling Auto-Assignment
- Open Admin Settings
- Toggle Auto-Assignment on
- Select which team members should be included in the rotation
When enabled, each new guest is automatically assigned to the next person in the rotation. The guest's status is set to Assigned immediately.
Configuring the Rotation
You can choose which users with guest management access are included in the auto-assignment rotation. Team members who are not in the rotation will not receive automatic assignments but can still be assigned guests manually.
Notification Settings
Configure how team members are notified when they are assigned a new guest.
Available notification channels:
- Email — Send an email notification to the assigned team member
- SMS — Send a text message notification
- Push — Send a push notification to the team member's mobile device
You can enable one or more channels. Team members will be notified through all enabled channels when a guest is assigned to them.
Daily Reminders
When enabled, the system sends an automatic digest email every day at 9:00 AM to team members with outstanding items. The digest includes:
- Overdue follow-ups — Any follow-up tasks past their due date
- Unassigned guests — Guests that have been in New status for more than 24 hours without assignment
Daily reminders help ensure that no guest is forgotten and that follow-up tasks stay on schedule.
