Substitute Request Settings

Substitute Request Settings control how substitute requests are handled when a volunteer cannot serve.

If a volunteer is scheduled and becomes unavailable, they can request a substitute directly from within the app.


How Substitute Requests Work

When a volunteer requests a substitute:

  • A notification email is sent to other eligible volunteers
  • Volunteers may accept the assignment
  • The assignment is updated once another volunteer takes the position

This allows volunteers to help cover each other without requiring an administrator to manage every change.


Benefits

  • Reduces last-minute administrator involvement
  • Encourages volunteers to coordinate coverage
  • Helps ensure positions are filled quickly
  • Prevents urgent Saturday-night phone calls

Important Notes

  • Only eligible volunteers for that job will receive the request
  • The original volunteer remains assigned until someone accepts the position
  • Once accepted, the schedule updates automatically

What If No One Accepts?

If no volunteer accepts the substitute request, an administrator can manually edit the assignment from the schedule.
